Apostille explained

What an apostille is and when your Indian document may need one.

An apostille is a standardized certificate used to authenticate the origin of a public document for use in another country that is party to the Hague Apostille Convention. It is not a visa, a passport endorsement or a guarantee that a receiving institution will accept every document; the receiving authority remains responsible for deciding whether your document meets its requirements.

120+

countries and territories use the Apostille Convention

The Convention is used across more than 120 participating countries and territories. Participation and receiving-authority requirements can change, so always confirm the current requirement with the authority that will receive your document.

How the apostille route generally works

01

Confirm the destination and purpose

Start by confirming the country where the document will be presented and why it is needed, such as higher education, employment, family registration, immigration or a business matter. The destination authority can confirm whether apostille is accepted for your purpose.

02

Check the document type and condition

Educational certificates, civil records, police clearance certificates, affidavits and some commercial documents may follow different preparation requirements. Use the original or the correct official version, and make sure names, dates and details are accurate and readable.

03

Complete prior verification where applicable

Some Indian documents may require verification from the issuing authority, state department, HRD, Home Department, SDM or another relevant authority before the Ministry of External Affairs apostille stage. The right step depends on the document and issuing jurisdiction.

04

Obtain the apostille through the appropriate official channel

After the required checks are complete, the document follows the MEA apostille route through the applicable authorized process. The apostille certifies the authenticity of the signature, seal or capacity on the underlying public document.

05

Check destination-country requirements before use

Ask the university, employer, embassy, immigration office or other receiving authority whether translation, a recent issue date, supporting copies or an additional local step is required. Keep the apostilled document protected and submit it as instructed.

02

MEA authentication or apostille

The Ministry of External Affairs stage may authenticate or apostille documents, depending on the destination route.

Embassy legalization where needed

For some countries, the destination embassy or consulate legalizes the document after earlier approvals.
